Use clinic time exceptions
To help manage your schedule (if your dental institution has given you this option), you can add, edit, and delete clinic time exceptions (CTEs) to your schedule. You can enter single occurrences of a CTE, or enter weekly or monthly recurrences of CTEs.
There are three methods for adding a single occurrence of a CTEs:
- Adding a CTE for today
- Adding a CTE for a specific day
- Adding a CTE for a specific time on a given day
To add a CTE:
- From the toolbar, select
.
Alternatively, if the CTE is:
- All day, below the toolbar, select a day cell, for example, "Fri 1/23".
- A partial day, select a time cell.
DoctorAccess inserts the time you selected in the start time and adds 30 minutes to the end time, e.g., if you select the time cell next to 9 AM the start time box shows 09:00 AM and the end time shows 09:30 AM.
- To enter a description (reason) for the CTE, select Description, and either:
- Enter a reason for the CTE.
- Select
, and then from the list on the right, select a reason.
For example, we'll select Class from the predefined list. When you enter/select a CTE in the Description field, the description automatically populates the Display Description field. This is the CTE description shown in the daily or weekly calendar view.
- To edit the CTE description displayed in your schedule, select
, and then edit the display description. For example, we'll add : Perio Charting after the word Class. - To change the default gray colored bar that is shown on the left of the CTE, from the Color drop-down, select a color.
Tip: Using a specific color for a CTE helps to distinguish various CTEs on your schedule.
- Select the date field, and from the pop-up calendar select a date.
- If the CTE is all day, check the All Day check box.
- If the CTE is a partial day, select the start and end time boxes, and using
and/or
select the time range. For example, we'll select the time 3:30 PM - 5:00 PM.
If you added a CTE using the
, the default time for the start time is the next closest hour. For the end time DoctorAccess adds 30 minutes from the start time.
- If applicable, from the Only available in box, select No clinic, and then select from the list on the right.
If you accept the default (No clinic), this means that you are not available in any clinics for the date and time range selected.
- If the clinic time exception qualifies as a break, set the indicator to Yes
.
The Qualify as a break option is not available if you have selected a clinic.
- Select Save.
Note: If the CTE you're adding conflicts with other scheduled events, a pop-up appears indicating that the CTE cannot be saved in DoctorAccess because of a scheduling conflict. However, this CTE may be added in axiUm.
If there's no scheduling conflict, the new CTE appears on your schedule.
To add a clinic time exception:
- From the toolbar, select
to display the CTE page. - To enter a description (reason) for the CTE, select Description, and either:
- Enter a reason for the CTE.
- Select
, then select a reason from the list on the right.
For example, we'll select Class from the predefined list. When you enter/select a CTE in the Description field, the description automatically populates the Display Description field. This is the CTE description shown in the daily or weekly calendar view.
- To edit the CTE description displayed in your schedule, select
, and then edit the display description. For example, we'll add : Perio Charting after the word Class. - To change the default gray color for the CTE, from the Color drop-down, select a color.

- Select the date field, and from the pop-up calendar select a date.
The default date is the current date selected in the schedule.
- If the CTE is all day, check the All Day check box.
- If the CTE is a partial day, select the start and end time boxes, and using
and/or
select the time range. For example, we'll select the time 3:30 PM - 5:00 PM.
The default for the start and end time is the time period selected in the schedule.
- If applicable, from the Only available in box, select No clinic, and then select from the list on the right.
If you accept the default (No clinic), this means that you are not available in any clinics for the date and time range selected.
- If the clinic time exception qualifies as a break, set the indicator to Yes
.
The Qualify as a break option is not available if you have selected a clinic.
- Select Save.
Note: If the CTE you're adding conflicts with other scheduled events, a pop-up appears indicating that the CTE cannot be saved in DoctorAccess because of a scheduling conflict. However, this CTE may be added in axiUm.
If there's no scheduling conflict, the new CTE appears on your schedule.
Depending on your dental institution, you may be able to add recurring clinic time exceptions (CTEs) that occur weekly or monthly. For example, add a lecture to your schedule that occurs weekly every Monday at 1:00 pm.
To add a recurring CTE:
- From the toolbar, select
. - To enter a description (reason) for the CTE, select Description, and either:
- Enter a reason for the CTE.
- Select
, and then from the list on the right, select a reason.
For example, we'll select Class from the predefined list. When you enter/select a CTE in the Description field, the description automatically populates the Display Description field. This is the CTE description shown in the daily or weekly calendar view.
- To edit the CTE description displayed in your schedule, select
, and then edit the display description. For example, we'll add: Perio Charting before the word "Class". - To change the default gray colored bar that is shown on the left of the CTE, from the Color drop-down, select a color.

From the date field, select a start date if different from today's date.
Note: If you selected the date in your schedule, for example,
, the All Day check box will be selected. If you selected a time cell in your schedule, the All Day check box will not be selected.
- If the recurring CTE is:
- All day, ensure that the All Day check box is checked.
- A partial day, ensure that the All Day check box is unchecked, then select the start and end time boxes, and using
and/or
select the time range. For example, we'll select the time range 9:00 AM-11:00 AM.
- Check the Recur check box.
The following options appear:
- Select the day(s) that you want the CTE to recur.
- If you want the CTE to recur monthly, from the Week(s) drop-down, select Month(s), and then from the First drop-down, select the monthly recurring type, for example, select Second so that the CTE recurs on the second week of every month.
- If the CTE frequency recurs less than:
- Every week, in the every box, enter how frequently, for example, every 2 weeks.
- Every month, in the every box, enter how frequently, for example, every 2 months.
The "Starting on" box appears above the "Ending on" box. If the CTE recurs less frequently than every week/month, you can change the "Starting on" date.
- (Optional) To change the default start date, select Starting on, and from the pop-up calendar select a new start date.
- Select Ending on, and from the pop-up calendar select the end date of the recurring CTE.
- If applicable, from the Only available in box, select No clinic, and then select from the list on the right.
If you accept the default (No clinic), this means that you are not available in any clinics for the date and time range selected.
- If the clinic time exception qualifies as a break, set the indicator to Yes
.
The Qualify as a break option is not available if you have selected a clinic.
- Select Save.
Note: If the recurring CTE you're adding conflicts with other scheduled events, a pop-up appears indicating that there are scheduling conflicts.
If there is no scheduling conflict, the recurring CTE appears on your schedule.
You can delete a single occurrence of a clinic time exception (CTE) from your schedule.
To delete a CTE:
- Select a CTE that you want to delete.
- Select
. - Select Delete this occurrence.
To delete a CTE:
- Select a CTE that you want to delete.
- Select

- Select Delete this occurrence.
You can delete a single recurrence of a CTE, delete the series, or delete the entire series including past instances of the CTE.
Besides deleting a recurring CTE in the future, you can delete a recurring CTE in the past that deletes only a single occurrence. For example, your dental institution may require you to delete a missed class (in a recurring series) to track attendance in Scheduler.
To delete a recurring CTE:
- On your schedule, select the recurring CTE that you want to delete.
- Select
. - From the drop-down, select on of the following:
- Delete this occurrence
- Delete the series
- Delete the entire series (including past items).
DoctorAccess deletes the recurring CTE(s).
Besides deleting a recurring CTE in the future, you can delete a recurring CTE in the past that deletes only a single occurrence. For example, your dental institution may require you to delete a missed class (in a recurring series) to track attendance in Scheduler.
To delete a recurring CTE:
- On your schedule, select the recurring CTE that you want to delete.
- Select
. - Select one of the following:
- Delete this occurrence
- Delete the series
- Delete the entire series (including past items).
You can edit a single occurrence of a clinic time exception (CTE) displayed in your schedule, for example, you can change the day or time of a CTE.
To edit a CTE:
- Select a CTE that you want to edit.
- Select
. - To edit the CTE description you can either:
- Select the description text and modify it.
- Select
, and then from the list on the right, select a description.
- To edit the display description, select
, and make your edit. - To edit the colored bar shown on the left of the CTE, from the Color drop-down, select a different color.
Tip: Using a specific color for a CTE helps to distinguish various CTEs on your schedule.
- To edit the date, select the date, and from the calendar select a different date.
- To change the CTE to all day, select the All Day check box.
- To edit the time of the CTE, select the start and end time boxes, and using
and/or
select the time range. - To edit the Only available in box, select an option from the list on the right.
Note: If you select the default (No clinic), this means that you are not available in any clinics for the date and time range selected.
- If the clinic time exception qualifies as a break, set to Yes. The "Qualify as a break" option is not available if you've selected a clinic.
- Select Save.
Note: If the CTE you're editing conflicts with other scheduled events, a pop-up appears indicating that the CTE cannot be saved in DoctorAccess because of a scheduling conflict.
If there's no scheduling conflict, a "Saved" confirmation message appears briefly.
To edit a CTE:
- Select a CTE that you want to edit.
- Select Edit.
- Select one of the following:
- Edit this occurrence
- Edit the series.
- To edit the CTE description:
- Select the description text, and modify it.
- Select
, and from the list on the right, select a different description.
- To edit the display description, select
and then select the text and enter a new description. - To edit the color, from the Color drop-down, select a different color.
- To edit the date, select the date field, and on the calendar select another day.
- To edit the CTE to all day, select the All Day check box.
- To edit the time of the CTE, select the start and end time boxes, and using
and/or
select the time range. - To edit the Only available in box, select an option from the list on the right.
Note: If you select the default (No clinic), this means that you are not available in any clinics for the date and time range selected.
- If the clinic time exception qualifies as a break, set to Yes. The "Qualify as a break" option is not available if you've selected a clinic.
- Select Save.
Note: If the CTE you're editing conflicts with other scheduled events, a pop-up appears indicating that the CTE cannot be saved in DoctorAccess because of a scheduling conflict.
If there's no scheduling conflict, a "Saved" confirmation message appears briefly.
You can edit the series or the entire series of CTEs.
Besides editing a recurring CTE in the future, you can edit a recurring CTE in the past that affects only a single occurrence. For example, if your dental institution tracks attendance, and you missed your regular Perio class earlier in the week, but attended another Perio class yesterday instead, you can edit the date.
To edit a recurring CTE:
- On your schedule, select the recurring CTE that you want to edit.
- Select
. - From the drop-down, select an option.
Note: If you're editing a CTEin the past, you can only edit it as a single occurrence.
- Make your edit(s).
- Select Save.
DoctorAccess saves the changes.
Besides editing a recurring CTE in the future, you can edit a recurring CTE in the past that affects only a single occurrence.
